All our products detailed in this website are sold subject to these Terms and Conditions and the same shall govern the contract between us. In the event of booking of any third party tours or travel products or services like flights, trains, transport services, guides, sightseeing’s etc., the Terms and Conditions specified by such vendor / supplier, including their payment schedule, cancellation, refund etc. shall be applicable, in addition to our Terms and Conditions.
The services comprising the tours are provided by independent entities that own or operate airlines, surface transportation, hotels, restaurants, places of entertainment like theme parks, museums, art galleries etc. Though we select reputed suppliers after we inspect their infrastructure, however, we have no direct control over such services or persons providing such services or their staff. We cannot be held responsible if the contemplated service is not provided by the supplier or there is a deficiency in the services provided by any supplier. Subsequently, any delay, injury, death, loss or damage is caused on the above account does not render us liable to the Clients who have chosen us as organizers. However, in case a client is not satisfied with a service, we can take up the matter with the supplier if we are intimated in due course as per the process described in this document.
Similarly, we do not take responsibility for any act or omission of co-travellers or third parties, if it results in injury, damage or danger to the life / limb or property of any Client.
As we usually book services in advance and we are bound to honour the commitments as to payment to the suppliers, cancellation of services, assigned results in the Company, losing money depending upon the time of communication of cancellation to the supplier and therefore, the cancellation schedule, which is based on the above amongst other factors becomes applicable on cancellation.
All the bookings are customized and handled by Heart Of Asia Travels by email or through WhatsApp however would suggest email communication as the most effective one. The programs will be based as per the client’s interests, budget and preferences and generally it includes the costs for services like hotel accommodations, daily breakfast, airport / railway station transfers, round trip transportation, services of language/English speaking guides, sightseeing tours, specific meals etc. All these will be mentioned in the inclusion and exclusions of the program quote sheet.
Once the client accept the pricings with the go ahead for the hotel reservations, we will then process the bookings and based on the confirmations received we will then send you the booking status along with the detailed itinerary and invoice with the minimum deposit requirements depending on the hotel’s guarantee policy, flight and train ticket bookings.
A 25% advance is required to book the tour. The remaining 75% is due 90 days before arrival in India.
In the event if the travel dates are within 30 days, 100% deposit will be required once the bookings are processed and confirmed as the hotels will not hold the reservations for long without a guarantee. Some hotels might also ask for full non-refundable deposit to block and confirm the rooms.
For group tours above 5 rooms, the booking terms and conditions will be specified at the time of quotation as they vary depending on the hotels confirmed. Some ask for a guarantee 45 days prior and some ask 60 days prior.
We accept payments through wire transfers and Visa & Master cards.
Funds remitted through online transaction process attracts additional bank charges amounting between 3.5% to 5% over and above the invoice amount which proves to be higher than the wire transfer bank fees.
Obtaining visa shall be the sole responsibility of the client who hereby undertakes not to hold Heart Of Asia Travels liable under any circumstances whatsoever, for visas not applied for, refused and / or due to delayed document submissions etc.
Valid passport and visa are required for travel to India. Please note that the passport must have at least 6 months validity and enough blank pages for the visas and immigrations stamps. It is solely the client’s responsibility and must be arranged well in time prior to the departure. The Company will not be held responsible if you had not been able to
With a few exceptions, all foreign nationals, including children, require a visa to enter India. The easiest way to obtain a visa is to apply for an e-Visa at https://indianvisaonline.gov.in.
A Tourist Visa may be valid for 30 days (double entry), 1 year or 5 years (both with multiple entries). For 1 year and 5 year visas, on each visit, the maximum period of stay in India is limited to 180 days in one calendar year. Please note the validity of the visa is effective from the date of issue and not the date of travel on your application form.
You should print out the e-Visa confirmation and take it with you. Your biometric details will be collected on arrival in India before the e-Visa is stamped into your passport.
There are many other websites which offer visa services but these will charge a fee in addition to the normal visa fees.
If you are visiting India after coming from or through a yellow fever country then you must have a valid vaccination certificate.

It is mandatory that the Clients purchase an Overseas Medical and other Insurance Policies to cover the risk to life, limb and property whilst on tour for the duration of the trip. It may be noted that the tour cost does not include the insurance premium and that the Clients shall have to acquire the same at their cost.
We strongly recommend that the Clients take Comprehensive Travel Insurance which is not limited to flight / hotel cancellations, delays, loss of deposit, personal loss & theft, personal accidents, medical expenses, loss of baggage etc., but is fully covered by life, property, medical insurance / clearances, inoculation / vaccination certificates as the case may be to be able to travel as per the tour itinerary.
It shall be the Clients duty to inform the Company in case the Client has any medical condition that may affect his ability to enjoy and pursue fully the Tour Arrangements and wherein the interest of the Group or any member thereof is prejudicially affected. The Company reserves the right to ask any Client to provide written certification of his medical fitness before departure. If a medical condition has not been disclosed, then the Company is not liable to provide any assistance or money back.
Any person who has a contagious disease is forbidden to travel. We can provide general information about any health formalities however you are required to consult your doctor for any specific condition before your travel. Heart of Asia Travels will not be held responsible for any costs or losses suffered by you.
It is always the client’s prime responsibility to keep their items and valuable goods in safe custody. If any item or goods have been left over at the hotel or at any local restaurant, they can contact the concerned persons directly or they can also intimate us so that we can follow up with the hotels / restaurants on their behalf. If found at any of the hotel / restaurant, the guests have to issue an authorization letter to collect the goods on their behalf and send it to them at your respective location while in India or authorizing the hotel to courier them to their home address directly.
Heart of Asia Travels will take no responsibility for retrieving any items of lost property & theft on behalf of a client and in line with the company policy, safety and law. Heart of Asia Travels will also not take responsibility in reclaiming any belongings from third-party suppliers without the consent from the client.
Heart of Asia Travels will take all due care for the principle of its services and activities provided to guests. No liability is accepted by the Company for any injury, illness, damage, loss, accident, expense, or any other claim arising from involvement in any activities or provision of any services howsoever suffered, The Company will no longer be liable for direct or indirect losses, arising from any such injury, illness, damage, loss accident, or expense including serious loss or economic loss however caused.
Though the ticket issued to the Client for a specific sector may have confirmed status, due to overbooking of seats the airline may offload any passengers and accommodate the Clients on a subsequent flight for which the company will not be responsible.
Check in and check out time at most of the hotels are 1400 hrs and 1100 hrs respectively.
Early check in at the hotels are subject to availability unless guaranteed with payment or booked from previous day for immediate occupancy.
Late check outs are available on request and are subject to availability of rooms until guaranteed with payment.
